Background

Avant Africa DMC is a full-service inbound tour operator and ground handler operating across Southern Africa, focused on sustainability-led, tailor-made itineraries and small-to-medium group travel experiences. Their positioning combines “Adventure + Activism,” with a mission to make travel both memorable and impactful while supporting responsible tourism practices.

Their model requires strong coordination across multiple moving parts—traveller enquiries, itinerary design, supplier confirmations, activity scheduling, documentation, and ongoing client communication. They also work to create market access for under-represented groups (including women-owned and community-based tourism products), which adds a values-led layer to supplier selection and portfolio management.

As requests increased, Avant Africa needed a more structured operating workflow to keep execution consistent: track enquiries and pipeline stages, manage itinerary tasks, maintain supplier and partner records, and keep status updates visible across the team—without relying on scattered messages, docs, and manual chasing.

The challenges

With many trips being custom-built, small gaps in follow-through can quickly create delays and risk to client experience. The biggest pressure points were visibility, coordination, and consistency across planning and execution.

Enquiries and follow-ups needed stronger structure so opportunities didn’t go cold during busy periods.

Itinerary planning involved many handovers (client → internal team → suppliers), making status tracking difficult.
